Set up your account
The following is a step by step guide to set up your accounts in HBP/EBRAINS.
Your EBRAINS user account
Collaboratory version 1 is deprecated and will be shutdown on September 2 2021 at 18:00 CEST. Users who do not yet have a Collaboratory 2 account are invited to register. Collaboratory 2 manages authentication for other EBRAINS services. Your Collaboratory 2 account is your EBRAINS account.
- If you are unsure if you have an EBRAINS (Collaboratory 2) account, try logging in to https://wiki.ebrains.eu. Use your institutional email address.
- If you do not have an EBRAINS account, you can register at https://ebrains.eu/register
Use your institutional email address
The EBRAINS Access Policy requires that all users' accounts be linked to their institutional email address (e.g. not a gmail account). Additionally, if you work at an institution that is part of the HBP Consortium or that is party to an HBP Partnering Project (PP), please make sure that the domain name of that email address explicitly identifies the institution you represent in the HBP Consortium or PP.
To check the email address linked to your EBRAINS account:
- Log in to https://wiki.ebrains.eu
- Click the profile icon at the upper right next to the Log-out icon
- Click the “Basic profile” button.
- To change the email address, please contact support@ebrains.eu
Do not create duplicate accounts. This is not authorized.
Request email address changes while you still have access to your email address on record. Requesting after you lose access to that email address is much more complicated.
Your HBP SGA3 accreditation
Users working for the HBP SGA3 project phase or for an HBP Partnering Project should request their corresponding accreditation.
Your SGA3 accreditation identifies which SGA3 Tasks you participate in. SGA3 accreditation is only available to users who work at one of the institutions in the HBP Consortium. This explicitly excludes any subcontracting done to companies that are not part of the HBP Consortium.
If you’re not in one of those institutions, you can still participate in the HBP & EBRAINS development. To access confidential information of the Consortium, you will need to request permission by writing to the information owner. You might also need to request access to specific resources or services.
- Please make sure you are a member of the Units corresponding to each SGA3 Task you participate in. This also allows users to give you permissions along with everyone else working in the same Task in just a few clicks.
- Log in to https://wiki.ebrains.eu
- Click the profile icon at the upper right next to the Log-out icon
- Under the Units title, you should have one Unit corresponding to each of the SGA3 Tasks you are participating in.
- You request to join a Unit by:

- Click the profile icon at the upper right next to the Log-out icon
- Click the “Browse Units” button
- Browse to All > Projects > HBP > HBP Consortium > SGA3. Shortcut for 1.4.1-1.4.4: https://wiki.ebrains.eu/bin/view/Identity/#/units/all:projects:hbp:consortium:SGA3
- Click on the Work Package WPn then the Task Tn.m where n and m are the WP number and Task number you work in.
Click on “Members”, you can't request to join as admin, admin right are only give throught support for now.
- Click the “Request to Join” button
- Wait for the Task leader or the WP manager to accept your request. You will be notified by email.
- Repeat for each Task you participate in.
Note to Task managers:
- You are encouraged to invite your Task members to create an EBRAINS account (Step 1) and ask them to join your Task's Unit (Step 2).
- You will be approving requests to join your Task Units. You should ensure that:
- These members are part of institutions in the HBP Consortium. The "HBP Consortium" Group is there to help you check. See the user's profile to see if they are a member of that Group. If they are not, deny their request.
- These members perform work within your Task.
- These members are not requesting to join the Task's Admin Unit.
Your PP accreditation
Users working for an HBP Partnering Project (PP) should request their corresponding accreditation.
Your PP accreditation identifies which PP you participate in. PP accreditation is only available to users who work at one of the institutions in the corresponding HBP PP.
- Please make sure you are a member of the Units corresponding to each PP you participate in. This also allows users to give you permissions along with everyone else working in the same PP in just a few clicks.
- Log in to https://wiki.ebrains.eu
- Click the profile icon at the upper right next to the Log-out icon
- Under the Units title, you should have one Unit corresponding to each of the PP you are participating in.
- You request to join a Unit by:
- Log in to https://wiki.ebrains.eu
- Click the profile icon at the upper right next to the Log-out icon
- Click the “Browse Units” button
- Browse to All > Projects > HBP PP. Shortcut for 1.4.1-1.4.4: https://wiki.ebrains.eu/bin/view/Identity/#/units/all:projects:hbp_pp
- Click on the Partnering Project name you work in.
- If you are a PP coordinator, click on “Admin”, or if you are a PP member, click on “Members”.
- Then click “Request to Join”
- Wait for the PP manager (respectively your PP coordinator) to accept your request. You will be notified by email.
- Repeat for each PP you participate in.
Note to Partnering Project Coordinators:
- You are encouraged to invite your Partnering Project members to create an EBRAINS account (Step 1) and ask them to join your corresponding PP Unit (Step 2).
- You will be approving requests to join your PP Unit. You should ensure that:
- These members are part of institutions that signed an MoU or CTC for your PP.
- These members perform work within your Partnering Project.
- These members are not requesting to join the PP's Admin Unit.
Your personal information
Part of the HBP project is funded by the EC. Users of HBP / EBRAINS are invited to share some information about themselves for statistical purposes or also with the HBP / EBRAINS community. No field is mandatory. Providing your gender will help us and the EC monitor gender equality. Providing your nationality will us and the EC monitor fair access to users across Europe. You choose what information you want to make available to other users of the community. You can edit it at any time.
- Please make sure you have saved your User Profile form at least once, even if you have not filled in any fields. This identifies that you have at least visited the page.
- Login to the EBRAINS Collaboratory homepage: https://wiki.ebrains.eu
- Click the profile icon at the upper right next to the Log-out icon
- Under the large profile image, click the PLUS profile link
- Read the form, fill the fields you choose, and click the SAVE button at the bottom. Click SAVE at least once, even if you have not filled any field.
